HAT Volunteer Guidelines


HAT relies on a network of committees to facilitate its fundraising efforts throughout the year. The HAT board oversees HAT committees, which are required to adhere to HAT procedures, standards and expectations as detailed in the committee protocol.


All volunteers working in the school building for five or more hours per week must submit to a background check every two years.

501(c)(3) GUIDELINES

HAT, as a 501(c)(3) not-for-profit tax-exempt organization, must follow certain rules and procedures in order to be in compliance with the IRS and other regulations.


HAT organizes a number of annual fundraisers voted on and approved during the annual August Board meeting. Any additional (new) fundraisers not approved during the August Board meeting must be submitted to and approved by the HAT Board at the next monthly meeting. HAT is required to have LSC approval for all fundraisers. The necessary paperwork should be submitted to the LSC in a timely manner.


HAT members may not commit HAT to any expenditure without prior approval from the HAT Board and Treasurer. Volunteers must fill out a HAT reimbursement request form that should be completed and submitted before spending money. Once approved expenses are incurred, the reimbursement form along with all necessary documentation should be submitted to the Treasurer for reimbursement.


In the course of doing work for HAT, volunteers may be privy to HAT member, Hamilton faculty, administration, and student information such as mailing addresses, phone numbers and e-mail addresses. This information must be kept confidential and may not be used for anything other than HAT business.


HAT is a parent group that works to provide funding and other resources to Hamilton school in support of the mission and work of the school administration and faculty.  As parents, we need to be cognizant of our roles and not interfere with the inner workings of Hamilton school and its personnel.
