HAT Materials

HAT meets on the third Thursday of the month at 6:00 pm in the school library. Notes are circulated to meeting attendees and highlights will be posted online.  Check the school calendar for upcoming meeting dates.

HAT Volunteer Guidelines

As a HAT volunteer, there are a few things that you need to be aware of. As a reminder, HAT is a 501c3 tax exempt organization and as such there are certain rules and procedures that we must follow in order to be in compliance with IRS and other regulations. Please read this information and if you have any questions, please contact HAT at hat@hamiltoncps.org.

Financial Procedures

  • HAT members may not commit HAT to any expenditure without prior approval from Penny Trowbridge, Treasurer. There is a HAT reimbursement request form that must be completed and submitted to Penny prior to spending any money.
  • Reimbursements of approved expenses must be submitted to Penny along with the reimbursement form and appropriate documentation.

Privacy Information

  • In the course of doing work for HAT you may be privy to HAT member or student information such as mailing addresses, phone numbers or email addresses. In order to respect the privacy of Hamilton families, this information must not be used for anything other than HAT business.
  • All materials to be distributed on behalf of HAT must be approved by Mr. Gray, principal, and, where appropriate, Tracy Hoffman, HAT president.
  • In order to ensure that marketing materials and flyers are distributed in a timely manner, please be sure to provide final approved versions to Mr. Gray no later than 2-3 school days prior to your desired distribution date. This will ensure enough time to get the materials copied and distributed.

General

  • Hamilton, like all organizations has its own culture and relationships. As parents we need to be cognizant of our roles and not interfere with the inner workings of the school interpersonal dynamics. HAT members should remember that Hamilton faculty and administrators are first and foremost responsible for the safety and education of our students. This is their first priority and HAT members should be respectful of that.
